Works closely with HSS internal monitor for guidance on these activities. - Assists Attending MDs with academic tasks, such as preparing PowerPoint slides and conducting literature searches for presentations as requested. - Responsible for the handling, packaging, and shipping of dangerous goods under supervision and in compliance with State and Federal regulations.  These specimens may include tissue, blood, dry ice, and chemicals.  Certification in these procedures is required in accordance with Federal Regulations.  Knowledge of good clinical practice for the handling of specimens and blood may be required. - Maintains and enhances professional growth through participation in seminars, professional affiliations, and internal training sessions to keep abreast of trends in research and the field of anesthesiology. - Other duties and projects as designated by Assistant Director, Research. Responsible for establishing short and long term goals and objectives in line with RI’s policies as well as ensuring compliance with federal, state and city regulatory agencies.  This position will work in the research building alongside scientists and their labs and provide financial oversight of grants funded by NIH, foundations, philanthropy and each lab’s operations budget.   Information on the programs/centers within the Research Institute: https://www.hss.edu/research.asp   Daily Duties:   Providing oversight and analysis of faculty finances, identifying trends and concerns; Identification of research funding opportunities, Mentoring of junior faculty on grant submissions, Coordination of new research programs and services funded by philanthropy, multi-site consortiums, program project grants, and innovative shared resources; and supervision and recruiting of support staff: administrative assistants, program/grants coordinators, lab manager/coordinator and education/conference coordinator, etc.   Implementing and managing RI membership criteria including review of applicants; publication information, and utilization of shared resources/cores. To that end, develops and implements various recruitment strategies. - Ensures accuracy of personnel transcribing data from a paper case report form (CRF) into an electronic format. - Manages and executes IRB submissions for initial approvals, re-approvals, amendments, etc… Ensures timeliness and accuracy of submissions and no lapses in approvals for the study. Directs research assistants in this effort as well. - Compiles and assists in analyzing data in preparation for a presentation, sponsor/regulatory agency, publication, etc… with the assistance of project investigator - Performs advanced data queries when needed. Provides timely reports to Institutional Review Board, Principal Investigator, National Institutes of Health and/or sponsor for each research project. - Participates in the development of new protocols, prospective databases and new initiatives taken on by the department. This may include independent design of databases and tools to facilitate data collection as required for specific projects (calendars, schedules, tracking logs) - Represents the Principal Investigator in departmental audits as well as external audits performed by representatives of the sponsor for each clinical research project. Works closely with HSS internal monitor for guidance on these activities. - Collaborates with the research team and research administration, as needed, to ensure that research subjects are treated in accordance with all mandated requirements. Ensures that standards regarding subject registration, protocol specific tests, and required documentation are adhered to.  Reports deviations as appropriate and resolves issues when possible.  Escalates issues to supervisor as needed. - In collaboration with Clinical Research Administration (CRA), develops a training plan for newly hired Research Assistants (RA) in the department/service. Monitors the training progress of new hires and supervises the RA in the mentoring process. Responsible for the continued mentoring and education of assigned Research Assistants.  - Prioritizes and schedules work activities to ensure that workflow is controlled and meets the need of the department. Communicates and maintains institutional/departmental policies, standard operating procedures, quality standards, improvement initiatives and external legal regulations/regulatory requirements. - Prepares all required internal reports on activity, on volume, and census reports as needed. - Responsible for the handling, packaging, and shipping of dangerous goods under supervision and in compliance with State and Federal regulations. The Mendias Lab conducts basic and clinical research in musculoskeletal regenerative medicine. The fellow will focus on clinical and translational studies evaluating growth factors and autologous regenerative cell therapies in patients with skeletal muscle, tendon, and cartilage injuries and diseases. CRA provides centralized services to foster and ensure safe, compliant and scientifically valuable patient-oriented research at HSS.  CRA provides support to facilitate all functions of clinical research from study design and conception through to a final contract, IRB approval, study execution and closeout. CRA continues to evolve in an effort to accommodate our investigators, making administrative and regulatory burdens seamless to encourage research at HSS.   Under the leadership of the VP, Research Administrator and the Medical Director for Clinical Research, this individual will be responsible for providing oversight and direct management of the following administrative pillars within Clinical Research Administration: - Research Expertise and Methods including the Biostatistics Core, Clinical Data Core, Scientific Review Panels and Core competency trainings. - Research Ethics and Safety including HSS IRB, relationship with external IRBs including commercial IRBs, WCMC IRB and SMART IRBs and DSMBs. - Regulatory Knowledge and Support including assistance with FDA IND/IDE, biosafety and DNA advisory committees; clinicaltrials.gov. - Quality Assurance and Training including assistance with regulatory binders; billing compliance (QCT/MCAs), good clinical practice monitoring, preparing for external audits and development of SOPs. Liaison with Corp. Compliance and Risk Management. - Financial Administration including pre/post award management of clinical research projects funded by industry, federal, foundation and internally via philanthropy and/or donations. Liaison with Legal and/or Innovation on agreement negotiations. Working with colleagues who love what they do and are deeply committed to our Mission, you too can be part of our transformation across the enterprise.   Department of Anesthesiology, Critical Care and Pain Management Clinical Research Coordinator   The Clinical Research Coordinator is an integral member of the research leadership team in the Department of Anesthesiology, Critical Care and Pain Management.  In a hybrid research/administrative role, the coordinator will conduct research study-related activities and serve as an administrative leader of the Research Division.   Responsibilities:   Research: - Performs data collection and data entry for studies as requested. Schedules and conducts subject interviews, follow-up visits and phone calls to obtain data as per protocol.  Ensures accuracy when transcribing data from data collection sheets, medical records, or electronic institutional databases or other source documents into databases. - Performs or helps facilitate informed consent procedures following all regulatory guidelines. - Develops and maintains research databases with guidance from Principal Investigator and/or statistician. - Participates in protocol development in collaboration with Principal Investigator and co-investigators. Conducts literature searches; actively participates in development meetings; reviews and edits protocol document; prepares study initiation documents. - Prepares initial drafts of protocols and manuscripts as requested by the Principal Investigator or Assistant Director, Research. - Performs IRB submissions for initial approvals, re-approvals, amendments, etc. Prepares, submits and files IRB and all regulatory documents, ie., data collection sheets, protocol amendments, protocol deviations, adverse event forms, etc. - Prepares information required for reports to research administration as needed. - Ensures that all research related regulatory, institutional, and departmental compliance requirements are met as appropriate - Provides timely progress reports (especially regarding enrollment) for each research project at regular intervals determined by the Assistant Director, Research or Principal Investigator. - Prepares and maintains orderly files for all research studies, including both electronic and hard copy paper files in regulatory binders. - Assists with study monitoring, and provides reports and corrective action plans to research staff - Maintains current knowledge of federal regulations and clinical research standards defined in part by 45CFR46 (The Common Rule), 21CFR56, and HSS Policies and Procedures for clinical research. Able to provide opinion on interpretation of regulatory requirements. - Accesses, uses and discloses protected health information in compliance with all federal regulations and all hospital HIPAA information security policies and procedures. - Complies with policies and procedures concerning infection control and safety in order to maintain a safe and comfortable environment for patients, visitors and staff. - Understands the HSS protocol/project review and approval process. Has knowledge of meeting schedule and contact for each review committee and Board (e.g. Research Review Panels, IRB). - Maintains and enhances professional growth through participation in seminars, professional affiliations, and internal training sessions to keep abreast of trends in the field of research. - Other duties and projects as designated by Assistant Director, Research. Administrative: - Mentors the Department’s clinical research staff. Meets with staff to review current projects and to answer questions regarding clinical research related activities. - Participates in the department’s research staff training program. Provides updates to program material as needed, and serves as a presenter for the program. - Participates in research leadership initiatives and committees. Proactively suggests improvements. - Works with leadership team and Clinical Research Monitoring to develop routine monitoring plans, conduct auditing, and generate monitoring plan findings. - Serves as an institutional resource for Good Clinical Practices for clinical research and institutional policies. - Provides input and guidance on clinical research study management and clinical research policies and procedures. Participates in study tracking initiatives, including generating reports and metrics of study process data, and SOP development and updates. Qualifications: - Master's degree or PhD required - Minimum 3 years of prior clinical research experience - Proficient use of computers, including Microsoft Excel, Outlook, and Word - Experience with statistical programs, REDCap and Epic preferred
