GME Program Coordinator, Floater

Role Summary:
With oversight and direction from Academic Training and Program Director(s), the GME Program Coordinator is responsible for the coordination and administration of the assigned ACGME accredited and/or non-accredited residency/fellowship training program(s) sponsored or overseen by HSS. The Program Coordinator’s primary focus is on organizing and overseeing the daily operations and activities of the program(s) and assisting Program Director(s) and faculty with ensuring that the program(s) is in full compliance with all internally and externally relevant policies, procedures, regulations, requirements and professional standards. The Program Coordinator is a resource for the Academic Training Office, Program Director(s), teaching faculty, and trainees.
Core Duties and Responsibilities:
- βIn conjunction with the Office of Academic Training, assists with ensuring the assigned GME training program(s) is/are in substantial compliance with the ACGME Common and Specialty/Sub-specialty-specific program requirements, ACGME policies and procedures, any other relevant specialty requirements, and internal HSS policies and procedures.
- Organizes and prioritizes the daily activities of the residency/fellowship program trainees, faculty, and staff; monitors work progress status and ensures compliance with deadlines.
- Provides program-level administrative support for recruitment, credentialing, appointment, orientation, reappointment, and graduation/termination of physician trainees. Serves as resource for all trainees and faculty.
- Develops, implements, and oversees the maintenance of filing, record keeping, distribution of materials, and other types of office/program systems.
- Assists in the development and implementation of new systems, administrative policies and educational strategies for the program(s).
- Maintains and monitors records of resident/fellow work hours, ensuring compliance with applicable state, ACGME, and other regulatory agency requirements.
- Maintains and monitors records of resident/fellow attendance for all required educational activities, including conferences and other didactic experiences.
- Maintains, monitors, and completes all required updates on applicable internal and external websites, databases, and the various GME related national systems (e.g. ADS, ERAS, FREIDA, NRMP, SFMatch, AMA, etc.).
- Implements and maintains all required modules of the MedHub residency management software, including the management and reporting of data as well as user training for program faculty and residents.
- Assists with the coordination of the resident/fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments, and ensuring applicant credentials are in compliance with current guidelines.
- Provides administrative support for and attends program meetings such as the Clinical Competency Committee (CCC), Program Evaluation Committee (PEC), Wellbeing Committee, Curriculum Committee, etc. Develops and distributes agendas, takes minutes, and creates action plans for each, as required.
- Works with Program Directors, faculty, residents/fellows, and other stakeholders to identify professional development needs related to accreditation, education, core curriculum development, assessment, process improvement, or other areas as identified and required.

Support physician office visits and other clinical activities.
- Room patients, including preparation for exams, reviewing past medical history, and obtaining patient data.

The Assistant Director is responsible for the operational, personnel, financial, and facilities management of HSS Westport. In collaboration with administrative and clinical leadership for the Connecticut Market, the Assistant Director also supports the execution and operations of strategic initiatives that align with HSS’ goals.
The Ambulatory Services team works to provide an exceptional patient, physician, and staff experience at HSS ambulatory sites. The team works collaboratively to ensure high quality care delivery consistent with the HSS brand, and partners with leaders from various departments throughout the enterprise.
Job Responsibilities:
Operations Management
- Ensures the delivery of an exceptional patient, physician and staff experience. Reviews patient satisfaction, physician experience and employee engagement survey results and responds to complaints/concerns. Develops process improvement and action plans in response to systemic issues.
- Oversees daily operations and critical business functions for physician office visits, radiology exams, and procedures. Ensures new programs are optimally integrated into the site.
- Utilizes available data to make informed decisions on process and performance improvement.
- Strategizes on ways to enhance workflow and patient throughput. Monitors and evaluates implementation of best practices.
- Directs Assistant Clinical Manager and PAS Coordinator to ensure staff receives proper guidance and direction in providing optimal, efficient, and cost-effective patient care.
- Leads efforts to attain key goals related to session utilization, appointment access, and other KPIs.
- Collaborates with Service Line team to onboard new physicians and staff to the site.
Personnel Management
- Guides and directs the hiring, training, retention, discipline and termination of staff
- Ensures that annual performance evaluations are completed for all staff, that performance development plans are created and monitored when necessary, and that annual goals are established.
- Ensures that all staff complete mandatory education modules.
- Identifies opportunities for educational programs and in-services for staff and ensures staff competencies are maintained.
- Coordinates staff meetings and ensures that appropriate and relevant information is disseminated to staff through this and other forums including email.
- Meets weekly with management team and leads daily huddles; ensures follow through of meeting takeaways.
- Oversight includes direct supervision of Assistant, Clinical Manager, PAS Coordinator and indirect supervision of clinical support (nursing) and patient access staff.
Financial Management
- Prepares annual operating and capital budgets, initiates and maintains purchase orders, manages invoices, and monitors monthly expenses. Performs analysis to explain monthly budget variances.
Site Development and Facilities Management
- Serves as a critical member of a multi-disciplinary team responsible for the implementation of the site and renovations of existing space. The Assistant Director will be involved with all aspects of these initiatives, including but not limited to: clinical and operational programming, facility design and development, staffing, equipment and supply procurement, go-live implementation.
- Coordinates repairs/maintenance calls and tracks survey/review of items that require regular evaluation (i.e. fire extinguishers).
- Responsible for ensuring a clean and well-functioning physical plant environment; ensures required medical/administrative supplies, equipment, and furniture are available, in appropriate working order, and in the quantities required for the team.

Clinical Nursing Director, New Jersey ASC (Mahwah)

Overview:
The Director, ASC is responsible for the clinical and administration functions of the Ambulatory Surgery Center. In this role, you will direct and coordinate the activities of the center to assure optimal and appropriate care of patients, consistent with the philosophy of Hospital for Special Surgery. You will work to continuously improve patient care and operational efficiency, as well as patient and employee satisfaction.
The Director is responsible for the daily management of center personnel and for developing a high-performance and engaged team, with the appropriate skills and competencies to achieve the short- and long-term goals of the center.
The Director is accountable for the effective delivery of skilled, efficient, and compassionate patient care. Responsibilities include coordination of all aspects of patient care; troubleshooting issues; ensuring compliance with accreditation and regulatory standards; managing quality assurance/quality improvement/change management initiatives; ensuring that all safety and risk management requirements are met; supervision of a professional staff of around 35 professionals, including nurses, technicians, and administrators; budgeting, billing, and accounting; policy management; and leadership in helping to align and implement the vision of the center with that of Hospital for Special Surgery.
The Director will develop and maintain collaborative working relationships with the entire medical staff at the center and be a role model and effective liaison for the ASC with the hospital’s medical and executive leadership. This role will work closely with the VP of Perioperative Services for HSS.
The position has a matrixed reporting relationship to both the ASC Board and the VP, of Perioperative Services.
Experience
- Knowledge of laws, rules and regulations; standards and guidelines of certifying and accrediting bodies; standards, protocols, and procedures governing the provision of nursing and ambulatory care.
- Knowledge of principles and practices of administration, fiscal, and personnel management essential to the success of a large department, unit, or center.
- Knowledge of practices and current trends in health care and ambulatory/perioperative services.
- A professional with significant management experience (5-plus years) in hospitals is required. Minimum of five years of ambulatory surgery/perioperative experience is required. General experience in academic, multi-specialty institutions, with some knowledge of orthopedics, is highly desirable.
- Experience interfacing with medical and executive leadership in a hospital and/or ambulatory setting is required. Must be adept at working through issues with surgeons, anesthesiologists, and other OR/hospital staff.
- Knowledge and expertise in all areas of ambulatory-surgery operations (Pre-Op, PACU, OR, and administration) is required.
- Experience implementing and managing the business plans for a large clinical group, department or center.
- Knowledge of change management, “lean” process, and quality-improvement principles; ability to initiate and implement change conducive to the improvement of the quality and safety of patient-care delivery
- Knowledge of Magnet culture and standards
