Working with colleagues who love what they do and are deeply committed to our Mission, you too can be part of our transformation across the enterprise.   Senior Practice Manager Full-Time        SUPERVISES:  Practice Managers, Office Managers, Physician Assistants, Floaters      JOB SUMMARY   The Senior Practice Manager is an essential member of our Physician Practice Management (PPM) team.  You will play a vital role in the supervision of physician practices.  In this role, you will report directly to the Directors of Practice Management. Additionally, you will be assigned as a primary lead responsible for the oversight of specific service lines and/ or office locations.   In order to provide a direct line of communication and accessibility, your workstation will be located in your assigned area. This role is essential to promoting a professional atmosphere through courteous communication, cooperation, and respect for HSS staff, patients and visitors.    DUTIES & ESSENTIAL JOB FUNCTIONS   Assigned Contracted Office Responsibilities: - Implement and maintain best practices as outlined by HSS policy and procedure as well as industry standards within your assigned practices and scope of specialty. Including but not limited to staff training, compliance, customer service, documentation, front-end billing, and physician office operations.  - Organize open forum team meetings with each office monthly to review patient volume statistics, office performance, and office goals. Executive summary to be provided to Directors following meeting. - Perform direct observation/supervision of assigned physician practices on a weekly basis including satellite locations through extended office visits. - Required to cover assigned offices if short staffed and floaters are unavailable. Including but not limited to: Answering calls, scheduling patients, obtaining precertification, check-in/checkout, surgical booking. - Responsible for providing oversight, mentorship, and fostering accountability for Practice & Office Managers on the daily operations within assigned practices and any support staff office when applicable. - Responsible for all recruitment and Human Resources activities for your assigned locations including but not limited to: staffing, hiring, onboarding/training, discipline, and performance evaluations. - Performance evaluations to be completed for all office staff in the following increments: probationary term evaluations as outlined by PPM orientation list, 6 months, and yearly. - Responsible for coordination of onboarding new physicians within your assigned locations under the supervision of the Directors including startup of practice and/or closure of a practice. Coordinate onboarding meetings with team throughout the onboarding process leading to weekly meetings 2 months prior to startup. - Responsible for ordering equipment and managing supply orders. - Responsible for management of Kronos for all assigned physician practices including proper time capture and approval. - Review overtime, attendance, and lateness reports each month and provide summary to Director. - Perform workflow assessments (operations only) on assigned practices with regular follow up, tracking changes and process improvement through required site visits as needed. - Work independently on assigned tasks with minimal supervision. Private Office Responsibilities: - Perform bi-weekly rounding on all private physician practices within assigned areas. - Responsible for assisting private offices in your assigned locations with HR forms, employee relations matters, and other hospital related matters. - Coordinate onboarding of new private physicians under the supervision of the Director. - Support offices with ordering supplies and equipment, IT requests. - Assist with Epic related matters, provide ongoing Super User support, and escalate issues as needed. Assigned Location Responsibilities: - Coordinate with service line Senior Managers and Chief Administrators to provide PPM updates at each service line meeting. - Conduct meetings with Radiology, Registration, and Nursing supervisors within your assigned locations including assigned satellites as needed. These can be done through a huddle or a formal monthly/bimonthly meeting based on the needs of the area. - Functions as the primary liaison between the physicians, division, hospital administration, outside consultants/vendors, and other hospital departments. - Collaborate with PPM Nursing on all clinical support needs/issues. - Assist with renovation and construction projects including allocation of space for new physicians. Department Specific Responsibilities: - Required to attend daily/weekly PPM team meeting to review projects, office assignments, and updates from leadership. - Provide regular updates on assignments and status of assigned projects. - Provide weekly update to Directors using the departmental template. - Perform monthly reviews of practice metrics with PPM Leadership to identify areas of opportunity and improvement. - Collaborate with all Practice Managers to coordinate and run mandatory monthly office manager meetings as well as mandatory contracted office manager meetings. Managers will rotate responsibilities of leading the meeting. - Partners with AVP and Directors in the preparation and analysis of performance metrics, budgetary, and service reports. - Provide SPM overseeing floaters with weekly feedback on all floaters in assigned practices utilizing the floater assessment form. - In the absence of the SPM overseeing floaters, manage and maintain the PPM Floater/Coordinator employees as well as temp staffing by facilitating and managing assignments in MD offices, gathering floater assessments from the offices, and facilitating biweekly one on one meetings with float staff. - Participate in floater meetings as scheduled. - Partner with Marketing and HSSConnect to promote physician referral networks; includes media opportunities, web development, and patient access initiatives.   - Collaborate with all Practice Managers and provide coverage for one another as needed. - Display a positive attitude toward work assignments, performance feedback, and interactions with co- workers, HSS department staff, patients, families, and visitors. - Serve as project lead for key initiatives responsible for coordinating progress against established milestones and communicating regular updates to hospital and departmental leadership. - Perform other duties as assigned.    Practice Management System Functions: - Assist with practice management systems workflow design and implementation, training, and ongoing updates. - Assess staff readiness and support all system go-live and physician practice adoptions of new software as assigned by Directors. - Ongoing Super User support to physician practices. - Work alongside IT with communicating system changes/upgrades. - Collaborate with Operational Excellence and IT on process improvement/optimization activities to maximize overall system efficiencies. - Perform Epic office reporting weekly including productivity, volume, open encounters, daily deposits, in basket management, schedule utilization, patient throughput. - Follow up with office staff for reeducation of proper workflow and accountability. Working with colleagues who love what they do and are deeply committed to our Mission, you too can be part of our transformation across the enterprise.   New Graduate In-Patient Residency  Night Shift   Anticipated Program Start Date: September 2023     Applicants can check the status of their application via the HSS Careers Website at any point in time by logging onto www.hss.edu/careers     The In-Patient  Acute Care Residency  program is for new graduate nurses transitioning from student to novice. The HSS Department of Nursing is committed to supporting new nurses with rich and rewarding educational and patient care experiences.Hospital for Special Surgery Nurse Residency Program was awarded Accreditation  by the American Nurses Credentialing Center’s for the Practice Transitions Program.   The Inpatient residency program is exclusive to new graduates from an accredited BSN program. The residency program runs for one year from date of hire.  New graduate RNs are hired into one cohort. The cohort meets throughout the orientation process, until the one year anniversary that includes the mentorship portion of the program.  Clinical orientation will be a minimum of 12 weeks and is individualized for the learner as needed; the goal is to ensure all clinical competencies are met.   The program is divided into three time frames: 1) general orientation, 2) clinical orientation, and 3) mentoring. The general orientation process is comprised of classroom/didactic learning for approximately 2 weeks.  The clinical orientation phase allows for the new graduates work with a consistent preceptor. During this time, the new graduate nurse also spends time shadowing members of the interdisciplinary team. Shadowing helps the new graduate nurse to become familiar with relevant care team roles and learn how to interact with colleagues in everyday practice. This experience helps the new graduate nurse become familiar with resources in the practice environment and observe the experiences of their patients in different clinical areas.   The Clinical orientation process is then closely followed by a Clinical Education Specialist and is structured with weekly objectives and skills. Bi-weekly individual meetings with the new graduate, preceptor, clinical education specialists and patient care directors serve to evaluate effective transition and progress throughout the program.    The mentoring phase begins during the second month of the orientation.  Each cohort meets on a monthly basis for the first 6 months, then every other month until the year anniversary. Monthly meetings have three components: 1) knowledge building educational component, 2) “shared experience” component and 3) mentorship component. This will include: dusting and washing equipment, walls, and floors; removing refuse, recyclables and regulated medical waste; and sanitizing receptacles.   To qualify for this role, you will need a High School diploma or equivalent. Previous experience in housekeeping or related field preferred. Specialized vocational courses are a definite plus.
