    Job Summary


    In this role you will provide comprehensive administrative support and direction to the front-end, patient facing registration team (MD services, Radiology, PT/Rehab where applicable) at a regional outpatient center, overseeing day-to-day services and contributing to an environment focused on exceptional patient experience. Your duties will entail supervising staff, developing and mentoring team members, interacting with patients and caregivers, and interfacing between staff, patients/caregivers and related third-parties (i.e. managed care organizations, benefit administrators , etc.). In addition to overseeing the registration activities for all on-site services, the Site Manager will partner with the Site Director and Clinical Coordinator to ensure seamless operation of the related facility. The Site Manager will provide overall site leadership in the absence of a Site Director and in partnership with the site’s Clinical Coordinator. Your role is essential to promoting a professional atmosphere through courteous communication, cooperation and respect for patients, visitors and members of the healthcare team.



    • Bachelor’s degree required


    • 5-7 years management experience required, in a healthcare setting preferred
    • Superb oral and written communication skills
    • Experience managing personnel with proficiency in creating and fostering a team-based environment
    • Demonstrated customer service skills, with experience in the medical/hospital setting, preferred
    • Creative problem-solving skills, particularly focused on developing efficient and scalable operational workflows
    • Familiarity with medical record systems, Epic preferred
    • Familiarity with patient billing practices, medical authorization experience preferred

    Primary Responsibilities

    Staff Scheduling

    • Create and publish weekly staff schedule, including managing vacation requests
    • Coordinate coverage schedules
    • Maintain timekeeping
    • Monitor patient scheduling activity and adjust personnel allocations as needed

    Team Management/Role Specific Responsibilities

    • Collaborate with Site Director and PALS Liaison to develop training process for orientation and on-going education
    • Maintain regular staff meeting schedule to cascade enterprise information
    • Coordinate complementary training with peer departments (Finance, Payer Management, etc.)
    • Review productivity reports and assign/monitor completion of queues
    • Assist in billing disputes

    Patient Satisfaction

    • Monitor and respond to all Registration-related patient complaints (in-person, Q-reviews, etc.)
    • Monitor waiting room for cleanliness and patient flow

    Physician/Nurse Relations

    • Respond to physician requests in absence of Site Director
    • Coordinate nursing schedule in absence of Site Director/Clinical Coordinator

    Human Resources

    • Participate in staff recruitment efforts, including screening/interviewing, onboarding
    • Manage staff discipline process in concert with HR business partners
    • Prepare annual staff evaluations
    • Mentor/coach personnel as component of staff performance/improvement plans


    • Order office supplies
    • Maintain computers/workstations – coordinate services requests with IT
    • Participate in budget creation and reconciliation related to registration activities
    • Respond to facility-related requests/issues in absence of Site Director
    • Coordinate with building management in absence of Site Director
    • Coordinate with SMC, Engineering, Third-party vendors in absence of Site Director
