    Office Manager - Dr. Osei


    Hospital for Special Surgery #1 in Orthopaedics for the last 10 years is currently looking for an experienced and energetic Full Time Office Manager for one of our physician offices. Dr. Osei is an Orthopaedic surgeon who specializes in conditions of the hand and upper extremity. In this role you will provide comprehensive administrative support and direction to an HSS physician practice, overseeing day-to-day operations and contributing to an environment of clinical excellence at our HSS Main Campus location and our Paramus, NJ location.


    Position requires travel and split time from our Main Campus location in the Upper East Side of Manhattan and our regional site at HSS Paramus in Paramus, NJ.

    • Supervise central office services including billing, patient reception and management, filing, message delivery and supplies
    • Supervise and complete surgical coordination and scheduling requirements in a timely fashion
    • Supervise and/or delegate support functions within office
    • Assess office workflow to identify processes that will maximize office resources and improve patient care
    • Communicate with office staff about workflow expectations and follow up
    • Develop and maintain office manual to serve as reference guide for office workflow and responsibilities
    • Keep track of work schedules for all employees in office; reflect accurately in Kronos timekeeping
    • Arrange for adequate coverage in office for planned absences of all employees
    • Sign off on payroll in a timely fashion according to schedule and PPM instruction
    • Facilitate communication between physician and hospital departments, department management and patients
    • Act as a liaison between Physician Practice Management and physician; respond to Physician Practice Management in a timely matter
    • Complete medical credentialing and license renewals
    • Manage physician’s travel expense reimbursement log and physician’s calendar
    • Arrange meetings, interviews and conferences according to physician’s needs



    • Schedule surgeries
      • All surgeries should be authorized 2 weeks prior to surgery excluding urgent add-on cases which should be authorized accordingly
      • Track PSS Scheduling appointments in Epic according to surgical calendar
      • Ensure all required documentation and pre-testing is completed, obtained, and reviewed by clinical office staff prior to surgery (medical clearances, EKGs, cardiology work-up, pulmonary tests, etc)
      • All documentation involved in chart preparation for surgical cases must have double identifiers (ex. patient name and date of birth)
      • Obtain surgical encounter forms post-op (with MD oversight), verify OP note matches the surgical encounter form, submit all surgical encounters within 48hrs to appropriate billing company
    • Manage billing functions (co-payments, charge entries, deposits, cash control documentation)
      • Collaborate with PPM Revenue Cycle Team to up uphold policy and procedure related to front end office business transactions
      • Check patients out after visit with MD
      • Collect all money due at time of visit
      • All encounter forms must be signed and completed by MD
      • Batch reconciliation should be completed by end of business day
      • Money and batches must be brought to cashier within 48 hours of date of service 


    • Associate’s degree required, Bachelor’s degree highly desirable. 5-7 years physician office experience may be considered in lieu of education.
